How is AI vision document processing different from traditional OCR?
Traditional OCR tools (such as DocStar, Ephesoft, and similar capture platforms) rely on zonal templates and pattern rules: you define where each field sits on the page, and the engine reads pixels from those zones. When a vendor changes a layout or sends a new format, the template breaks and someone has to rebuild it. ESS DocumentAI uses an AI vision agentic system that interprets the document the way a person does — understanding labels, tables, and context — so it reads any vendor format on the first encounter without a template.
Do we have to build a template for every vendor or document type?
No. That is the core difference. Because extraction is template-free, new vendors and new layouts are handled automatically. Configuration (extraction hints, field mappings, ERP lookups) is managed through an admin UI by business users — no developer involvement or code deployment required.
Which documents can it process?
Purchase orders, sales orders, invoices, purchase order acknowledgements (POA), packing slips, quotes, and inventory and returns documents. We ship pre-built mapping templates and pipelines for these document types so you start with working automation rather than a blank slate.
Does it just extract data, or does it post into our ERP?
It does both. After AI extraction, the platform validates entities (customers, ship-to locations, items) against your live ERP data and creates the record directly in the ERP — for example, an order in Epicor Prophet 21 or a customer order in IFS. High-confidence documents flow straight through; uncertain ones are routed to a person for a quick review.
Will our data be used to train public AI models?
No. The platform runs in your Microsoft Azure or AWS tenant with enterprise security and encryption. Your documents and data are never used to train public models. For the strictest requirements we offer a fully self-hosted, air-gapped deployment using open vision models on your own GPUs.
How long does it take to get started?
